How do we collect information?

Eviid collects information in two possible ways:

  1. When you directly give it to us (“Directly Provided Data”)

When you sign up for our site, purchase our products or communicate with us, you may choose to voluntarily give us certain information – for example, by filling in text boxes or completing registration forms. All this information requires a direct action by you at that time in order for us to receive it.

  1. When you give us permission to obtain from other accounts (“User Authorised Data”)

Depending on your settings or the privacy policies for other online services, you may give us permission to obtain information from your account with those other services. For example, this can be via social media or by choosing to send us your location data when accessing our website from your smartphone.

How long do we keep your data for?

Eviid will not retain your personal information longer than necessary. We will hold onto the information you provide either while your account is in existence, or as needed to be able to provide the Services to you, or (in the case of any contact you may have with our Sales, Customer Care or Support teams) for as long as is necessary to provide support-related reporting and trend analysis only.

If legally required or if it is reasonably necessary to meet regulatory requirements, resolve disputes, prevent fraud and abuse, or enforce our Terms and Conditions, we may also retain some of your information for a limited period of time as required, even after you have closed your account or it is no longer needed to provide the Services to you.

Eviid will not sell or rent your personally identifiable information, gathered as a result of filling out the site registration form, to anyone.

Choosing how we use your data

We understand that you trust us with your personal information and we are committed to ensuring you can manage the privacy and security of your personal information yourself.

With respect to the information relating to you that ends up in our possession, and recognising that it is your choice to provide us with your personally identifiable information, we commit to giving you the ability to do all of the following:

  • You can verify the details you have submitted to Eviid by contacting our Service Desk by emailing support@eviid.com or calling 0333 800 2888 during office hours. Our security procedures mean that we may request proof of identity before we reveal information, including your e-mail address and possibly your address.

  • You can also contact us by the same method to change, correct, or delete your personal information controlled by Eviid regarding your profile at any time. Please note though that, if you have shared any information with others through social media channels, that information may remain visible, even if your account is deleted.


  • You are also free to request that an account within an Eviid hosted portal be closed by, in the first instance, contacting your organisations admin team or requesting that we do so on your behalf. If you do so, your account will be deactivated. However, we may retain archived copies of your information as required by law or for legitimate business purposes (including to help address fraud and spam).


  • You can always feel free to update us on your details at any point by emailing support@eviid.com or calling 0333 800 2888 during office hours.


  • You can unsubscribe from receiving marketing emails from us by clicking the “unsubscribe” link at the bottom of any email. Once you do this, you will no longer receive any emails from us.


  • You can request a readable copy of the personal data we hold on you at any time. To do this, please contact us by emailing support@eviid.com or calling 0333 800 2888 during office hours.


Please note, we are constantly reviewing how we process and protect data. Therefore, changes to our policy may occur at any time. We will endeavour to publicise any changes.

Modern Slavery

Company Statement

The Board and management of Eviid, the head office of which is located in Birchwood strictly prohibits the use of modern slavery and human trafficking in our operations and supply chain. We have and will continue to be committed to implementing systems and controls aimed at ensuring that modern slavery is not taking place anywhere within our organisation or in any of our supply chains. We expect that our suppliers will hold their own suppliers to the same high standards.


The policy is subject to continuous, systematic review and improvement.

Scope


This policy applies to all persons working for us or on our behalf in any capacity, including employees at all levels, directors, officers, agency workers, seconded workers, volunteers, agents, contractors and suppliers. Any agreements with clients will contain language similar that protects the fund.

Definitions


Modern Slavery and Human Trafficking – Modern slavery is a term used to encompass slavery, servitude, forced and compulsory labour, bonded and child labour and human trafficking. Human trafficking is where a person arranges or facilitates the travel of another person with a view to that person being exploited. Modern slavery is a crime and a violation of fundamental human rights.


Policy Commitment


We shall be a company that expects everyone working with us or on our behalf to support and uphold the following measures to safeguard against modern slavery:

  • We have a zero-tolerance approach to modern slavery in our organisation and our supply chains.

  • The prevention, detection and reporting of modern slavery in any part of our organisation or supply chain is the responsibility of all those working for us or on our behalf. Workers must not engage in, facilitate or fail to report any activity that might lead to, or suggest, a breach of this policy.

  • We are committed to engaging with our stakeholders and suppliers to address the risk of modern slavery in our operations and supply chain.

  • We take a risk-based approach to our contracting processes and keep them under review. We assess whether the circumstances warrant the inclusion of specific prohibitions against the use of modern slavery and trafficked labour in our contracts with third parties. Using our risked based approach, we will also assess the merits of writing to suppliers requiring them to comply with our Code of Conduct, which sets out the minimum standards required to combat modern slavery and trafficking.

  • Consistent with our risk-based approach we may require:

    • employment and recruitment agencies and other third parties supplying workers to our organisation to confirm their compliance with our Code of Conduct

    • Suppliers engaging workers through a third party to obtain that third parties’ agreement to adhere to the Code

  • As part of our ongoing risk assessment and due diligence processes, we will consider whether circumstances warrant us carrying out audits of suppliers for their compliance with our Code of Conduct.

  • If we find that other individuals or organisations working on our behalf have breached this policy, we will ensure that we take appropriate action. This may range from considering the possibility of breaches being remediated and whether that might represent the best outcome for those individuals impacted by the breach to terminating such relationships


Policy Compliance


If any user is found to have breached this policy, they may be subject to Eviid’s disciplinary procedure as laid out in the company Staff Handbook.  If a criminal offence is considered to have been committed further action may be taken to assist in the prosecution of the offender(s).
